What we collect, why, and on what basis

When you send an inquiry or request a quote

The form asks for your name and email, and optionally your company, phone or WhatsApp number, the service you need, the language pair, your deadline and a description of the project. We use this to answer you and to prepare a quotation. The legal basis is the steps taken at your request before entering into a contract, and our legitimate interest in responding to business inquiries.

When you send us documents to translate

Files you send us by email, and any personal data inside them, are processed only to carry out the work you asked for. The legal basis is the performance of our contract with you. Where your files contain other people’s personal data, you remain the controller of that data and we act as your processor.

When you browse the website

Google Analytics runs only if you allow it in the cookie banner, on the basis of your consent, which you can withdraw at any time. Our host and Cloudflare’s security check record standard technical data such as IP address and request time to keep the site available and to block attacks; the basis is our legitimate interest in the security of the site. How long we keep it

Inquiries and quotation requests: while we are in contact with you and for up to 24 months after the last exchange, unless you ask us to delete them sooner.
Project files and deliverables: for the duration of the project and for up to 12 months after delivery, unless your instructions or a signed agreement say otherwise.
Invoices and accounting records: for as long as tax and commercial law requires.
Consent records for cookies: 1 year.

Who else sees it

Inside Locstars, only the people working on your inquiry or your project. Outside, only the translators and reviewers assigned to your project, each bound by a confidentiality agreement, and the service providers that run our infrastructure: our hosting provider, Cloudflare for security and delivery, Microsoft 365 for our email, and Google Analytics if you consented to it. We do not sell personal data and we do not use it for advertising.

Data outside your country

We are based in Egypt with a presence in the United States, and some of our providers process data in the United States or the European Union. Where data from the EEA or the United Kingdom is transferred outside it, the transfer relies on the European Commission’s standard contractual clauses or an equivalent safeguard. Protection in some destinations may be weaker than under EU or UK law, including the possibility of access by public authorities.

Your rights

Depending on where you live, you can ask us for a copy of the data we hold about you, ask us to correct it, delete it, restrict or object to its use, or receive it in a portable form. Where we rely on consent, you can withdraw it at any time without affecting what was done before. Write to [email protected] and we will answer within one month.

If you are not satisfied, you can complain to a supervisory authority: in the EEA, the data protection authority of the country where you live or work; in the United Kingdom, the Information Commissioner’s Office; in Egypt, the Personal Data Protection Centre.

Security

The site is served over HTTPS, access to our systems is restricted to the people who need it, and our translators work under confidentiality agreements. No system is perfect; if a breach ever affects your data and presents a risk to you, we will notify you and the competent authority as the law requires.

Children

Our services are sold to businesses and professionals. The website is not directed at children, and we do not knowingly collect their data.

Changes to this policy

If we change how we handle personal data, we update this page and the date at the top. Significant changes are announced on the website.
